What should be achieved?
The workforce in your company has the chance to create and / or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that no extra staff is needed on the spot.
You give your staff the chance to identify themselves completely at any time with their own employee photo.
The staff photos can be automatically adjusted to the ideal format, removed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
One possible solution
You can place a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the display.
The monitor serves as a touchscreen at the same time as an input terminal for the required data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read directly from the employee ID. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the image.
After the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or more backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined location.
The image is saved in a size and aspect ratio that you specify (eg square for the ActiveDirectory). The name of the file is used to compare the captured image and the internal employee data record. We would be happy to support your IT department in defining the import interface.

How did the staff get the photo?
So that not only the CRM system or the ActiveDirectory comes into possession of the new photos, there are three different ways for the workforce to get their photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the staff can use to load their original image and the different sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The captured photo is immediately sent to the employee's email address. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.
