What should be achieved?
The workforce in your company is given the opportunity to create and / or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino, the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on site.
This gives your workforce the opportunity to identify themselves to 100% around the clock with their individual employee photo.
The staff photos are automatically adapted to the ideal format, freed from disturbing elements in the background and, if desired, saved in several sizes and aspect ratios.
Our proposed solution
You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to the passport photo machine, and see the instructions for the required steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the image can also be displayed.
After the photo of the employee's picture has been taken, the background of the photo can automatically be exchanged for one or more backgrounds you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a specified location on the final image.
The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved photo and the internal employee data record. We would be happy to support your IT department in specifying the interface.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place in parallel in various dimensions.

Of course, each file can also be “branded” with logos and / or the name and position of the employee are immediately on the picture.

How does the employee get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the workforce to choose to receive their image as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the staff can copy down their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the workforce can use to download the original recording and the various versions for the different target systems.
