The mission goal
The staff in your company have the opportunity to photograph and/or update the personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra staff is needed on site.
You give your employees the chance to always identify 100% with their own employee photo.
The staff photos can be automatically adjusted to the best possible format, freed from annoying elements in the background and optionally saved in various shapes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, employees can sit down in front of the photo box and read the instructions for the necessary actions on the monitor, as with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in several sizes at the same time.

How did the staff get the photo?
To ensure that the CRM system or Active Directory are not the only ones to get hold of the new photos, there are three different ways for the workforce to choose from to also receive their photo digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to load their original recording and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's email inbox.

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
