The mission goal

The workforce in your company has the opportunity to take their own employee photo and / or update it at a fixed location or at alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.

The staff photos are automatically cut to the best possible format, removed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.

One possible solution

You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary steps on the display.

The monitor serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the photo booth can also be programmed so that the data can simply be read from the company ID card. The employee data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the employee profile can also be displayed.

After the photo of the employee portrait, the background of the photo can be automatically replaced with one or more backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned at a defined position on the final image.

The image is saved in a size and format that you specify (eg square for the ActiveDirectory). The name of the file is used to compare the photographed image with the in-house employee data set. We would be happy to support your IT department in specifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place simultaneously in different forms.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee will be directly visible on the picture.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory get the new pictures, there are three different ways for the staff to choose to get their picture as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the screen, which the staff can use to copy down their original recording and the various formats for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the staff can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.

Other deployment options

In order to get the most out of your investment, you have the following options:

The need for investment

The price for purchasing such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
