The mission goal
The staff in your company have the option of photographing and/or updating the personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that you do not need extra staff on site.
You give your employees the chance to identify themselves to 100% around the clock with their individual employee photo.
The personal photos are automatically adjusted to the best possible format, removed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.
A suggested solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data, e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data can simply be read from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the employee portrait can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in various dimensions.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can appear directly on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to get their picture as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the workforce can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Entry of the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo as well as the different versions for the different target systems.
Alternative deployment options
In order to make the most of your purchase, you have the following options:

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in this country and in Zurich.
