The use of a photo box for employee photos

The workforce in your company has the opportunity to photograph and / or update the personal employee photo at a fixed location or at a location that changes at regular intervals (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
You give your teams the opportunity to identify themselves to 100% with their individual employee photo.

The staff photos can be independently adapted to the appropriate format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

Our proposed solution

You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read in immediately from the employee ID card. The employee data recorded in this way are then later an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the recording.

Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or various backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed on the final image at a defined point.

The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the file. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place in parallel in several dimensions.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly on the picture.

How does the employee get his photo?

So that the CRM system or ActiveDirectory alone does not benefit from the new photos, there are three different ways for the workforce to receive their picture as a file.

1. Download from an offline gallery via QR code
   The photobooth provides a private WLAN which the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the staff can save their pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo booth.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the workforce can use to download the original recording and the various formats for the different target systems.

Additional deployment options

In order to make the best possible use of the acquisition, you have the following options:

The cost frame

The investment for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
