The use of a photo box for employee photos
The staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the chance to always fully identify themselves with their individual employee photo.
The staff photos can be independently adjusted to the optimal format, freed from annoying elements in the background and, if desired, saved in many dimensions and aspect ratios.
A suggested solution
You place a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photobooth in the same way as with a passport photo machine and see the instructions for the necessary actions on the screen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the company ID card. The information recorded in this way is then subsequently a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image can be output in different formats at the same time.

Of course, each file can also be “branded” using the logo and/or the employee's name and position will appear directly on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the workforce to choose from to also receive their picture as a file.
- Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the workforce can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original image and the different sizes for the different target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
Additional uses
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
