The use of a photo box for employee photos

The workforce in your company has the opportunity to create and / or update individual employee photos at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that no extra personnel is needed on site.
You give your teams the opportunity to identify themselves completely around the clock with their own employee photo.

The staff photos are automatically adapted to the appropriate format, removed from disruptive elements in the background and optionally saved in different sizes and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the image can also be displayed.

Subsequent to the photograph of the employee picture, the background of the photo can automatically be exchanged for one or different backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed on the final image at a defined position.

The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved photo and the internal employee data record. We would be happy to help your IT department clarify the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place synchronously in many dimensions.

Of course, each file can also be “branded” with the help of the company logo and / or the name and position of the employee can be directly visible on the picture.

How does the employee get the picture?

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the staff can download their recordings. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Entry of the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's email inbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the touchscreen, which the staff can use to copy down their original photo and the different sizes for the various target systems.
