What should be achieved?
The staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your workforce the chance to always identify 100% with their individual employee photo.
The personal photos can be automatically adapted to the appropriate format, removed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box and read the operating instructions for the necessary actions on the screen, as with the passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured so that the data can be read directly from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a checkbox for internal/external use of the image.
After photographing the employee portrait, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to help your IT department specify the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in several dimensions.

etc. within easy reach.
Logically, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the workforce to choose from to also receive their photo digitally.
- Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the staff must dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to the offline gallery where employees can copy their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original image and the different sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The captured photo is then immediately sent to the employee's mailbox.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for the purchase of such a perfected photo box starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
