What should be achieved?

The staff in your company have the opportunity to create and/or update individual employee photos at a fixed or periodically changing location (e.g. in the casino or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your employees the chance to fully identify themselves at any time with their personal employee photo.

The personal photos can be automatically cut to the ideal format, freed from annoying elements in the background and optionally saved in several shapes and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary actions on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the employee portrait can also be displayed.

After the employee portrait has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned in a specified position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different formats at the same time.
So you always have the perfect photo for
XING, LinkedIn, Outlook, the CRM system, Facebook
etc. are available.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the staff to get their photo as a file.

1. Entry of the email address at the end of the photo sequence.
   The captured photo is sent directly to the employee's email inbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the workforce can use to download the original recording and the various formats for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the workforce has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the workforce can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

Additional deployment options

In order to make the best possible use of your investment, you have the following options:

• Use at trade fairs to issue personalized “flyers”
• Photos of groups of visitors, e.g. after a tour

The cost frame

The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
