The mission goal
The staff in your company have the option of photographing their own employee photo and/or updating it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that extra staff is not needed on the spot.
You give your employees the opportunity to fully identify themselves at any time with their individual employee photo.
The personal photos are automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in various shapes and aspect ratios.
Our proposed solution
You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the recording can also be displayed.
Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the connection.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place in various forms at the same time.
So you always have the right photo for
Twitter, Outlook, Facebook, LinkedIn, WhatsApp & Co, Instagram, XING
etc. within easy reach.
Logically, each file can also be “personalized” with company logos and/or the name and position of the employee will be included in the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the workforce to receive their photo digitally.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the different sizes for the different target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the staff must dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the staff can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Alternative uses
In order to get the most out of your investment, you have the following possible uses:
- Photo attraction at customer events & meetings

- Photos of groups of visitors, e.g. after a tour of the company

The need for investment
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
