What should be achieved?
The staff in your company have the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no other employees are needed on site.
You give your employees the chance to identify themselves completely around the clock with their own employee photo.
The staff photos are automatically adjusted to the appropriate format, removed from annoying elements in the background and optionally saved in a number of formats and aspect ratios.
The solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth, just like with the photo booth, and see the operating instructions for the necessary steps on the touchscreen.
The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is read directly from the company ID card. The information recorded in this way will later become an element of the file name of the employee photo taken.
Alternatively, a data protection screen can be set up with a confirmation option for internal / external use of the photo.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department specify the connection.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can happen simultaneously in several dimensions.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee will be visible directly on the image.

How does the employee get their photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the workforce to choose from to get their photo as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can load their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to copy their original recording and the various versions for the different target systems.

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
