What should be achieved?

The staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their individual employee photo.

The personal photos are automatically cut to the optimal format, removed from annoying elements in the background and saved in several sizes and aspect ratios if desired.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo booth and see the instructions for the necessary steps on the touchscreen, just like with the passport photo machine.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is immediately read from the employee ID card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the photo.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in some formats.

Of course, each file can also be "branded" with a company logo and/or the designation and position of the employee will be immediately visible on the image.

How do the staff get their picture?

To ensure that the CRM system or Active Directory are not the only ones to get hold of the new photos, there are three different ways for the workforce to receive their photo digitally.

1. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the staff can copy their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different versions for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.

Other deployment options

In order to make the best possible use of your investment, you have the following options:

The need for investment

The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
