What should be achieved?
The staff in your company get the opportunity to create and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their individual employee photo.
The personal photos are automatically adjusted to the best format, annoying elements are removed from the background and, if desired, saved in various dimensions and aspect ratios.
The solution
You place a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the display, just like with the photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read from the company ID card. The data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the photo can also be displayed.
After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image can be output in different dimensions at the same time.

Logically, each file can also be “personalized” with the help of the company logo and/or the employee's name and position will be immediately visible on the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to receive their image as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the workforce can use to download their original image and the different sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's email inbox. - Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the workforce can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
