The mission goal

The workforce in your company has the opportunity to photograph and / or update the personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to fully identify themselves at any time with their own employee photo.

The staff photos can be independently adapted to the ideal format, freed from annoying elements in the background and, if desired, saved in several sizes and aspect ratios.

The solution

You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the monitor.

The monitor serves as a touch screen in parallel as an input terminal for the necessary data such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read out immediately from the employee ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.

Following the recording of the employee picture, the background of the recording can be automatically exchanged for one or different backgrounds that you have specified. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed photo and the internal employee data record. We would be happy to support your IT department in clarifying the import interface.

A biometric check and a cut to a biometric ID photo are available as options.
The image output can happen in different formats at the same time.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee can appear directly on the picture.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the workforce can choose between three different ways to get their photo digitally.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the staff can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.
2. Enter the email address at the end of the photo sequence.
   The photo taken is then immediately sent to the employee's e-mail inbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the staff can use to download the original recording as well as the various sizes for the different target systems.

In order to make the best possible use of the acquisition, you have the following options:

The cost frame

The investment for the acquisition of such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is bought directly.
