The mission goal
The workforce in your company has the option to take a photo of the individual employee and / or bring it up to date at a fixed location or at a location that changes at regular intervals (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the option of fully identifying themselves around the clock with their personal employee photo.
The staff photos can be automatically optimized to the best format, freed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.
The solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo box in the same way as with a passport photo machine and see the operating instructions for the necessary actions on the display.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way will later become a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the photo can also be set up.
Following the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or various backgrounds you have specified. Likewise, the head of each photo is located, scaled to a specified size and positioned on the final image at a specified location.
The image is saved in a size and aspect ratio that you specify (eg square for the ActiveDirectory). The name of the image is used to compare the recorded image and the internal employee data record. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in several forms at the same time.
So you always have the ideal photo for
Twitter, LinkedIn, Instagram, the CRM system, Facebook, WhatsApp & Co, XING, Outlook
etc. within easy reach.
Of course, each file can also be “personalized” with logos and / or the name and position of the employee will be directly visible on the picture.
Special advantages of automated photo processes for professional employee photos
- minimized work time
- RAW data can also be saved if required
- Self-made professional staff photos in best DSLR quality and studio flash technology
- automatic branding with your background and logo.
- additional data acquisition before or during the acquisition sequence
- Optimized throughput speed if a large number of employees are to be photographed in a short time frame
- Workforce portraits according to your corporate design
How does the employee get his picture?
So that the CRM system or the ActiveDirectory alone do not benefit from the new images, there are three different ways for the workforce to receive their photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different sizes for the various target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the staff can save their photos. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.
Additional deployment options
In order to make the best possible use of your investment, you have the following options:
- Use at staff parties (summer party, Christmas party ...}
- Use at trade fairs to issue personalized “flyers”
- Photo attraction at customer events & conferences
- Employee photos (as explained above)
- Photos of groups of visitors, e.g. after a guided tour
- Recording of biometric passport photos and ID photos
The cost frame
The cost of buying a photo booth that has been adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
references
Since the implementation of the system in 2019, two photo boxes have been set up permanently in Germany and Switzerland.
Both at WWZ AG in Zurich and at Haufe Lexware, the system is very well received by employees.
