What should be achieved?
The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional human resources staff are not needed on site.
You give your teams the opportunity to identify themselves to 100% around the clock with their personal employee photo.
The personal photos are automatically cut to the best possible format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box and see the instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is read directly from the company ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.
After the employee portrait has been photographed, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a defined point on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the file name. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can happen simultaneously in several formats.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position can be immediately visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new images, there are three different ways for the workforce to choose from to also get their image digitally.
- Download from an offline gallery via QR code
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the workforce can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to load their original recording and the different versions for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
