What should be achieved?
The workforce in your company has the option of creating and / or updating their personal employee photo at a fixed location or at a location that changes periodically (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to fully identify themselves at any time with their individual employee photo.
The staff photos can be independently adapted to the best format, removed from disruptive elements in the background and optionally saved in several formats and aspect ratios.
One possible solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees are allowed to sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personal identification, name, family name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can simply be read from the company ID card. The employee data recorded in this way are then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
Following the recording of the employee portrait, the background of the recording can automatically be exchanged for one or more backgrounds that you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the file. We would be happy to help your IT department define the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place at the same time in different dimensions.

Logically, each file can also be “personalized” with company logos and / or the name and position of the employee will also be visible on the picture.

How does the photographed person get their photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for the workforce to receive their picture as a file.
- Download from an offline gallery via QR code
The photobox provides a private WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery where the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the screen, which the staff can use to download their original recording and the various versions for the various target systems.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The investment for the acquisition of a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
