The use of a photo box for employee photos
The staff in your company have the opportunity to photograph and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your employees the option to fully identify themselves at any time with their individual employee photo.
The staff photos are automatically adjusted to the optimal format, removed from annoying elements in the background and saved in several dimensions and aspect ratios if desired.
The solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the required data, e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read in immediately from the company ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the photo.
After the employee portrait has been taken, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and format defined by you (eg square for Active Directory). The name of the picture is used to compare the photographed picture and the internal employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in many sizes.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be directly visible on the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the staff to get their picture digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN that the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the workforce can load their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the different sizes for the various target systems.
