What should be achieved?

The employees in your company are given the option to create and / or update their individual employee photo at a fixed location or at a location that changes periodically (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.

The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.

Our proposed solution

You can place a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There the employees can stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary steps on the display.

The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the photobox can also be configured so that the data can simply be read from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After the photo of the employee portrait has been taken, the background of the recording can be automatically exchanged for one or more background settings you have specified. In the same way, the head is located for each photo, adjusted to a specified size and positioned on the final image at a specified location.

The image is saved in a size and format that you have specified (e.g. square for the ActiveDirectory). A comparison is made between the photographed image and the internal employee data set via the file name. We would be happy to help your IT department clarify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image can be output in several dimensions at the same time.
So you always have the right photo for
LinkedIn, the CRM system, XING, WhatsApp & Co, Outlook
etc. at hand.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately visible on the picture.

How does the photographed person get his picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, there are three different ways for the employee to receive his photo as a file.

1. Download via QR code from an offline gallery
   The Photobox provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original photo and the different versions for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email inbox.
