What should be achieved?

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to identify themselves completely around the clock with their personal employee photo.

The personal photos can be automatically adapted to the best possible format, removed from disturbing elements in the background and, if desired, saved in different shapes and aspect ratios.

Our proposed solution

You position a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photobooth in a similar way to a photo booth and read the instructions for the necessary steps on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The employee data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the photo.

After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a defined position on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). The file name is used to compare the photograph taken with the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in several formats at the same time.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee will be immediately visible on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new images, there are three different ways for the staff to choose to receive their image as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the staff can use to load their original photo and the different formats for the different target systems.
2. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery where staff can load their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
3. Entry of the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email inbox.

Other deployment options

To get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
