The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional personnel on site.
You give your teams the option to fully identify themselves at any time with their own employee photo.
The personal photos can be automatically cut to the ideal format, freed from disturbing elements in the background and optionally saved in different formats and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, just like with a passport photo machine, and read the instructions for the necessary steps on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a checkbox for internal/external use of the image.
After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department clarify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel to some extent.

Of course, each file can also be "personalized" with company logos and/or the designation and position of the employee will be visible on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his picture digitally.
- Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other deployment options
In order to make optimal use of the investment, you have the following options:
- Photos of groups of visitors, e.g. after a lecture

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
