The mission goal
The field staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional human resources staff are not needed on site.
You give your staff the option to always identify themselves 100% with their own employee photo.
The personal photos are automatically adjusted to the best possible format, freed from disturbing elements in the background and, if desired, saved in various shapes and aspect ratios.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in many sizes.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position will be directly visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original recording and the different sizes for the various target systems. - Download from an offline gallery via QR code
The Photobooth provides its own WLAN, which the sales representative must dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the sales representative can load his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's email address.
Further deployment options
In order to make the best possible use of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased directly.
