The mission goal
The field staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to fully identify themselves at any time with their own employee photo.
The staff photos can be independently adapted to the appropriate format, removed from annoying elements in the background and, if desired, saved in various formats and aspect ratios.
A suggested solution
You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photobooth in the same way as with a passport photo machine and read the operating instructions for the necessary steps on the monitor.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can simply be read from the business card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the recording.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to help your IT department define the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image can be output in many formats at the same time.
So you always have the ideal photo for

etc. within easy reach.
Of course, each file can also be “branded” with logos and/or the name and position of the employee can be immediately visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to choose from to get his photo as a file.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the sales representative can load his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the various sizes for the various target systems.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:
- Pictures of groups of visitors, e.g. after a tour
- Employee photos (as explained above)
- Photo attraction at customer events & meetings
- Use at sales force parties (summer party, Christmas party ...}
- Use at trade fairs to produce personalized “flyers”

The cost frame
The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
Customer ratings
Since the system was implemented in 2019, two photo boxes have been permanently installed in Germany and Zurich.
