The use of a photo box for employee photos
The field staff in your company have the option of creating and/or updating the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
You give your workforce the chance to identify themselves completely around the clock with their personal employee photo.
The personal photos are automatically cut to the best format, annoying elements are removed from the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photobooth in a similar way to a passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the employee profile.
Following the recording of the employee picture, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in specifying the interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in several sizes at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the sales representative to get his picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original recording and the various formats for the various target systems. - Enter the e-mail address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the sales representative must dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the sales representative can load his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Alternative uses
In order to make the best possible use of the acquisition, you have the following possible uses:

The need for investment
The cost of buying a photo box adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the possibility of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.
