The mission goal

The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at periodically changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves around the clock to 100% with their own employee photo.

The staff photos can be automatically adjusted to the optimal format, removed from annoying elements in the background and optionally saved in different formats and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and see the operating instructions for the necessary actions on the screen, just like with a passport photo machine.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the portrait taken with the in-house employee data record. We would be happy to help your IT department clarify the interface.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can be done in various formats at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee can be included in the image.

How does the employee get their photo?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to choose from to get his picture digitally as well.

1. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the sales representative must dial into.
   At the end of the recording, a QR code will appear on the screen. The QR code leads to the offline gallery from which the sales representative can load his pictures. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box.
2. Entry of the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the field service employee can use to load his original recording and the different formats for the various target systems.

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
