The use of a photo box for employee photos

The field service employees in your company have the chance to take photos of the individual employee photo and / or bring it up to date at a fixed location or at a location that changes at regular intervals (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your teams the chance to always fully identify themselves with their own employee photo.

The staff photos can be automatically optimized to the best possible format, freed from disturbing elements in the background and, if desired, saved in many dimensions and aspect ratios.

The solution

You position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can simply be read from the employee ID card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.

After the photo of the employee portrait, the background of the photo can be automatically replaced with one or different backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a defined point.

The recording is saved in a size and format determined by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in various dimensions.

Logically, each file can also be “personalized” with the help of the logo and / or the name and position of the employee can also be visible on the image.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the sales representative can choose between three different ways to get his photo digitally.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to load his or her original image and the various sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the field service employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the sales representative can download his pictures. In contrast to the online gallery, this way only works in the direct vicinity of the photo box.

Alternative uses

In order to get the most out of your investment, you have the following options:

The need for investment

The cost of purchasing a photobox optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
