The use of a photo box for employee photos

The field staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their individual employee photo.

The personal photos are automatically adjusted to the best possible format, removed from disturbing elements in the background and, if desired, saved in various shapes and aspect ratios.

Our proposed solution

You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary actions on the display, just like with the photo booth.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is simply read in from the employee ID card. The employee data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal/external use of the employee portrait can also be displayed.

After the employee portrait has been photographed, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the stored portrait and the internal employee data record via the name of the picture. We would be happy to support your IT department in clarifying the interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can be in different dimensions at the same time.
So you always have the best possible photo for
WhatsApp & Co, Outlook, the CRM system, LinkedIn, Twitter, Instagram, XING, Facebook
etc. at hand.

Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee will also be visible on the image.

How did the staff come to the picture?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to download his original photo and the different sizes for the different target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail inbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the sales representative has to dial into.
   At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery where the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Additional uses

To get the most out of your investment, you have the following options:

• Employee photos (as described above)
• Use at trade fairs to issue personalized “flyers”
• Recording of biometric passport photos and ID photos
• Use at sales force parties (summer party, Christmas party ...}
• Pictures of groups of visitors, e.g. after a tour of the company
• Photo attraction at customer events & congresses

The need for investment

The cost of purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
