What should be achieved?

The field staff in your company get the opportunity to create and/or update their personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to identify themselves to 100% at any time with their personal employee photo.

The staff photos can be independently adapted to the appropriate format, freed from disturbing elements in the background and, if desired, saved in various formats and aspect ratios.

A suggested solution

You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary steps on the screen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the employee ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the recording.

After photographing the employee portrait, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the file name. We would be happy to help your IT department determine the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can happen in different dimensions at the same time.
So you always have the right photo for
Instagram, LinkedIn, XING, the CRM system, Twitter
etc. lying ready.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position will be visible directly on the image.

How does the photographed person get their photo?

So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to choose from to receive his picture as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original photo and the different formats for the various target systems.
2. Download via QR code from an offline gallery
   The Photobox provides its own WLAN which the field service employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.

Other possible uses

To get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
