The mission goal

The field service employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the chance to fully identify themselves at any time with their own employee photo.

The staff photos are automatically optimized to the optimum format, removed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.

The solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees will stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can simply be read in from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be set up.

After the employee picture has been taken, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also located, scaled to a specified size and positioned on the final image at a defined point.

The recording is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison is made between the photographed photo and the internal employee data record via the name of the picture. We would be happy to support your IT department in defining the interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image can be output in many formats at the same time.
So you always have the ideal photo for
Twitter, XING, LinkedIn, WhatsApp & Co, the CRM system
etc. are available.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately visible on the picture.

How did the staff come to the picture?

So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, the sales representative has three different ways to get his photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the sales representative has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the sales representative can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo booth.
2. Entry of the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the sales representative can use to download the original photo and the various sizes for the various target systems.

Additional deployment options

In order to make the best possible use of the acquisition, you have the following possible uses:

• Use at trade fairs to produce personalized “flyers”
• Recording of biometric passport photos and ID photos
• Photo attraction at customer events & meetings

The need for investment

The price for buying such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
