The use of a photo box for employee photos

The field staff in your company have the option of creating and/or updating their own employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional personnel on site.
This gives your workforce the option of fully identifying themselves around the clock with their own employee photo.

The personal photos can be automatically cut to the appropriate format, freed from disturbing elements in the background and optionally saved in several formats and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and see the instructions for the necessary steps on the touchscreen, just like with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the employee ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal / external use of the photo.

After the photograph of the employee picture has been taken, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and format specified by you (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image can be output in various dimensions at the same time.

Logically, each file can also be “branded” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, the field service employee has three different ways to get his picture as a file.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the sales representative has to dial into.
   At the end of the sequence, a QR code will appear on the screen. This QR code leads to the offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   In this case, the photo taken is immediately sent to the employee's e-mail inbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the sales representative can use to load his original photo and the various formats for the various target systems.

Additional deployment options

To get the most out of your purchase, you have the following options:

The need for investment

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
