What should be achieved?
The field staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to always fully identify themselves with their own employee photo.
The staff photos are automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in different formats and aspect ratios.
The solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. EmployeeID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the image.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photograph taken with the in-house employee data record. We would be happy to help your IT department clarify the interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in many sizes at the same time.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be immediately visible on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to get his picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the field worker can use to copy his original image and the different sizes for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's e-mail inbox. - Download via QR code from an offline gallery
The photobox provides a private WLAN which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
Other deployment options
In order to get the most out of your investment, you have the following possible uses:

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
