The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that no extra staff is needed on the spot.
You give your staff the option to fully identify themselves around the clock with their individual employee photo.
The personal photos are automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in different sizes and aspect ratios.
A suggested solution
You position a photobox that is perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in the same way as with a passport photo machine and see the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read in immediately from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.
Following the photograph of the employee picture, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and format defined by you (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the import interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can happen in various formats at the same time.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the sales representative to get his photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the sales representative can use to download his original recording and the different sizes for the various target systems. - Download from an offline gallery via QR code
The photobooth provides its own WLAN which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox.
Further deployment options
In order to make the best possible use of the purchase, you have the following possible uses:

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
