The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need extra employees on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.
The personal photos are automatically optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You place a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary steps on the display, just like with the passport photo machine.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information, such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the employee ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the recording can also be set up.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the file. We would be happy to help your IT department specify the import interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in various formats.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the sales representative to get his picture as a file.
- Enter the email address at the end of the photo sequence.
Then the captured photo will be sent to the employee's email address. - Download from an offline gallery via QR code
The photo box provides its own WLAN, which the sales representative must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download the original recording and the different formats for the different target systems.

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
