The use of a photo box for employee photos
The field staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their individual employee photo.
The personal photos are automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the human resources department, at the ID office or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box and read the instructions for the necessary actions on the touchscreen, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read directly from the company ID card. The employee data collected in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen with a checkbox for internal/external use of the image can also be displayed.
After the employee portrait has been taken, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the picture is used to compare the photographed picture and the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in different forms at the same time.

Of course, each file can also be “branded” with the company logo and/or the employee's name and position can be included directly in the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to get his picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the field worker can use to load his original photo and the different versions for the different target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides its own WLAN which the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
