What should be achieved?
The field staff in your company have the opportunity to take their own employee photo and/or update it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your teams the chance to identify themselves to 100% around the clock with their personal employee photo.
The personal photos can be automatically cut to the appropriate format, removed from disturbing elements in the background and optionally saved in a number of dimensions and aspect ratios.
The solution
You position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, just like with a passport photo machine, and see the instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the company ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the image can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department clarify the interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place in many formats at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be included in the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to choose from to receive his picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the field worker can use to load his original recording and the various formats for the various target systems. - Entry of the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photobooth provides its own WLAN which the sales representative has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Additional deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Photos of groups of visitors, e.g. after a lecture
- Use at trade fairs to produce personalized “flyers”
- Employee photos (as explained above)
- Use at sales force parties (summer party, Christmas party ...}
- Photo attraction at customer events & conferences
The need for investment
The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.

Since the system was introduced in 2019, two photo boxes have been permanently installed in this country and in Zurich.
