What should be achieved?

The field staff in your company have the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their individual employee photo.

The personal photos are automatically cut to the ideal format, removed from annoying elements in the background and saved in different shapes and aspect ratios if desired.

Our proposed solution

You position a photo booth perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo booth, similar to the photo booth, and read the operating instructions for the necessary steps on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the photo.

After photographing the employee portrait, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The image is saved in a size and format defined by you (eg square for Active Directory). The file name is used to compare the photograph taken with the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can happen simultaneously in many dimensions.

Of course, each file can also be "branded" with company logos and/or the employee's name and position can be included directly on the image.

How does the photographed person get their photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the sales representative to get his photo digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.
2. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN that the field worker has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the sales representative can download his photos. In contrast to the online gallery, this path is only in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the different sizes for the various target systems.

Additional deployment options

In order to make the best possible use of the acquisition, you have the following options:

The need for investment

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
