The use of a photo box for employee photos

The field staff in your company are given the opportunity to create and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your teams the opportunity to always identify 100% with their own employee photo.

The staff photos can be independently adapted to the appropriate format, freed from annoying elements in the background and optionally saved in different sizes and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary steps on the monitor, just like with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the employee profile can also be set up.

After the employee photo has been taken, the background of the recording can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department determine the connection.

A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place synchronously in different dimensions.

Of course, each file can also be “branded” with the company logo and/or the employee's name and position can be immediately included in the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the sales representative to choose from to also receive his picture digitally.

1. Enter the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to copy his original recording and the various sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN which the sales representative must dial into.
   At the end of the recording, a QR code will appear on the screen. This QR code leads to an offline gallery where the sales representative can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other deployment options

In order to get the most out of your investment, you have the following options:

• Pictures of groups of visitors, e.g. after a presentation

The need for investment

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
