The mission goal
The field staff in your company are given the opportunity to create and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your workforce the option to identify themselves at any time to 100% with their personal employee photo.
The staff photos can be independently optimized to the appropriate format, removed from disruptive elements in the background and optionally saved in various shapes and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the human resources department, at the ID office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photobooth in a similar way to a passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read from the employee ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the image can also be displayed.
After the employee photo has been taken, the background of the recording can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in parallel in different sizes.

the CRM system, XING, Twitter, Outlook, Instagram, Facebook
etc. within easy reach.
Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee can be directly visible on the picture.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the sales representative to get his picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the different sizes for the different target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The photobooth provides its own WLAN that the sales representative has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where the sales representative can load his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
Other deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Recording of biometric passport photos and ID photos
- Pictures of groups of visitors, e.g. after a lecture

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in this country and in Switzerland.
