The use of a photo box for employee photos
The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that extra employees are not needed on site.
You give your workforce the chance to identify themselves to 100% around the clock with their personal employee photo.
The personal photos are automatically optimized to the best format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo booth, similar to a passport photo machine, and read the operating instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the recording can also be displayed.
After the employee portrait has been photographed, the background of the recording can be automatically exchanged for one or many backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the image. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place at the same time to different extents.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the sales representative to get his picture digitally.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN that the sales representative has to dial into.
At the end of the sequence, a QR code will appear on the screen. This QR code leads to an offline gallery where the sales representative can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download his original recording and the various sizes for the different target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox.

The need for investment

Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
