The mission goal

The workforce in your company is given the opportunity to photograph and / or update their personal employee photo at a fixed location or at a location that changes regularly (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the option to fully identify themselves at any time with their own employee photo.

The staff photos are automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in various formats and aspect ratios.

Our proposed solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the display.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read in directly from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the employee profile.

After the photo of the employee portrait, the background of the photo can be automatically replaced with one or more of your specified backrounds. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined position.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved photo and the in-house employee data record. We would be happy to help your IT department specify the connection.

A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can happen simultaneously to some extent.

Of course, each file can also be “branded” with the help of the company logo and / or the name and position of the employee can be immediately shown on the picture.

How did the staff get the photo?

So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for the workforce to get their picture as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download their original photo and the various sizes for the various target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's email address.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery in which the staff can upload their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.

Alternative deployment options

To get the most out of your investment, you have the following options:

• Use at staff parties (summer party, Christmas party ...}
• Photos of groups of visitors, for example after a presentation

The need for investment

The investment for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
