What should be achieved?

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that you do not need extra employees on site.
You give your employees the option to identify themselves to 100% around the clock with their personal employee photo.

The personal photos are automatically optimized to the best format, removed from annoying elements in the background and saved in different formats and aspect ratios if desired.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID card office or at reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the instructions for the necessary steps on the screen, just like with the photo booth.

The screen serves as a touch screen in parallel as an input terminal for the required data, e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a privacy screen with a checkbox for internal/external use of the recording can also be displayed.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can occur synchronously in different dimensions.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee can be immediately included in the image.

How does the photographed person get their photo?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the workforce to choose from to also receive their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code will appear on the screen. That QR code leads to the offline gallery from which the staff can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original image and the various sizes for the various target systems.

Alternative uses

In order to get the most out of your investment, you have the following options:

• Photo attraction at customer events & congresses
• Use at staff parties (summer party, Christmas party ...}
• Recordings of groups of visitors, e.g. after a tour of the company
• Recording of biometric passport photos and ID photos

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
