The use of a photo box for employee photos
The staff in your company have the option of photographing and/or updating the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your teams the option to identify themselves to 100% around the clock with their own employee photo.
The personal photos are automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in certain dimensions and aspect ratios.
The solution
You position a photo booth that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary actions on the touchscreen, as with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read out immediately from the company ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal/external use of the image.
After photographing the employee portrait, the background of the image can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image can be output in different formats at the same time.
So you always have the ideal photo for
WhatsApp & Co, Twitter, the CRM system, LinkedIn, Instagram, Outlook
etc. ready.
Of course, each file can also be “personalized” with company logos and/or the name and position of the employee can appear directly on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to choose from to also receive their photo as a file.
- Download from an offline gallery via QR code
The photo box provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.

At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to load their original photo and the various sizes for the various target systems.
Additional deployment options
In order to make the most of your investment, you have the following options:

The need for investment
The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
