The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.
The personal photos can be automatically cut to the ideal format, removed from annoying elements in the background and optionally saved in a number of shapes and aspect ratios.
A suggested solution
You place a photo booth set up for employee photos in your company (e.g. in the human resources department, at the ID office or at reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo booth like in a passport photo machine and see the operating instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the company ID card. The employee data collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department define the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can happen in different sizes at the same time.
So you always have the ideal photo for
the CRM system, Instagram, Outlook, LinkedIn, Facebook, WhatsApp & Co, XING, Twitter
etc. ready.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position will also be visible on the image.

How did the staff come to the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to choose from to also get their photo as a file.
- Enter the email address at the end of the photo sequence.
The captured photo is sent directly to the employee's email inbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to load their original recording and the various formats for the various target systems.
Other possible uses
In order to make the best possible use of the acquisition, you have the following options:

The need for investment
The cost of purchasing a Photo Box adapted in this way starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
