The mission goal
The staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the chance to identify themselves at any time to 100% with their personal employee photo.
The personal photos can be automatically optimized to the ideal format, removed from annoying elements in the background and saved in several sizes and aspect ratios if desired.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the instructions for the necessary actions on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a sharing option for internal/external use of the image.
After the picture of the employee has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in several forms.

Of course, each file can also be “branded” with company logos and/or the employee's name and position will also be visible on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the workforce to get their picture digitally.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the workforce has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where the staff can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to load their original photo and the different versions for the different target systems.
Other deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
