What should be achieved?
The staff in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional employees on site.
You give your staff the opportunity to identify themselves at any time to 100% with their own employee photo.
The personal photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and, if desired, saved in different shapes and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo booth and read the instructions for the necessary steps on the display, just like with the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photobooth can also be set up in such a way that the data can be read immediately from the company ID card. The information recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.
After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to help your IT department define the connection.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place at the same time in some formats.

Of course, each file can also be “personalized” with the help of the logo and/or the employee's name and position will be immediately visible on the image.

How does the staff get their photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the workforce to receive their image as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the staff must dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to an offline gallery from which the workforce can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to copy their original recording and the different versions for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's email inbox.
