What should be achieved?

The staff in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional employees on site.
You give your employees the chance to identify themselves to 100% around the clock with their individual employee photo.

The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and saved in several shapes and aspect ratios if desired.

One possible solution

You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photobooth in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the business card. The employee data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the image.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place in parallel to different extents.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will also be visible on the image.

How does the photographed person get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to get their photo digitally.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the workforce can use to download their original photo and the various formats for the various target systems.

Other uses

In order to make the best possible use of the acquisition, you have the following options:

• Use at staff parties (summer party, Christmas party ...}
• Recording of biometric passport photos and ID photos
• Photo attraction at customer events & congresses
• Use at trade fairs to issue personalized “flyers”
• Pictures of groups of visitors, e.g. after a tour

The cost frame

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
