The use of a photo box for employee photos

The staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to identify themselves to 100% at any time with their personal employee photo.

The staff photos are automatically optimized to the right format, freed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be displayed.

After photographing the employee portrait, the background of the photo can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and placed in a specified position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to help your IT department specify the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can be synchronous in several forms.

Of course, each file can also be “branded” with company logos and/or the name and position of the employee will also be visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new images, there are three different ways for the workforce to choose from to also receive their image digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the workforce can use to download their original photo and the various versions for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.

Alternative uses

In order to get the most out of your investment, you have the following options:

• Employee photos (as already explained)

• Recordings of groups of visitors, e.g. after a tour

The cost frame

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
