The mission goal

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves around the clock to 100% with their personal employee photo.

The staff photos are automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in several sizes and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the touchscreen.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is simply read in from the company ID card. The information recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be set up.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can happen in several forms at the same time.

Logically, each file can also be “branded” with company logos and/or the employee's name and position can be directly visible on the image.

How does the photographed person get their photo?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the workforce to get their photo as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the workforce can use to download their original photo and the various versions for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN that the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where the staff can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Alternative uses

To get the most out of your investment, you have the following options:

• Production of biometric passport photos and ID photos
• Use at staff parties (summer party, Christmas party ...}
• Pictures of groups of visitors, e.g. after a tour
• Use at trade fairs to issue personalized “flyers”

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought directly.
