The use of a photo box for employee photos

The staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to always fully identify themselves with their own employee photo.

The personal photos are automatically cut to the right format, removed from annoying elements in the background and optionally saved in various formats and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the touchscreen, similar to the photo booth.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read in immediately from the company ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in various sizes at the same time.
So you always have the right photo for
Outlook, the CRM system, Facebook, Twitter, LinkedIn, WhatsApp & Co, XING, Instagram
etc. are available.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory gets the benefit of the new recordings, there are three different ways for the workforce to get their picture as a file.

1. Entry of the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email inbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the different sizes for the various target systems.
3. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the workforce has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

Other possible uses

In order to make the best possible use of the purchase, you have the following options:

• Recording of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a tour of the company
• Photo attraction at customer events & conferences
• Use at staff parties (summer party, Christmas party ...}
• Use at trade fairs to issue personalized “flyers”
• Employee photos (as already described)

The need for investment

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
